General Description:
This position performs clerical and administrative tasks to support the church’s functions and activities. The Administrative Assistant is on the front line, often the church’s initial representative to the public. To support ministry across areas, providing adequate support and administration for all ministries is essential. This individual creates an inviting environment for anyone passing through and offers comfort and calm to those who may be dealing with stress or confusion.

Job Responsibilities (as follows, but not limited to):
- Welcome visitors and members, answer inquiries, and provide information courteously and efficiently.
- Perform skilled administrative work for pastors, including scheduling appointments as needed and maintaining complete records of ministry functions and worship.
- Field phone calls and communicate messages to staff effectively. Regularly check the telephone answering system and either take notes, return calls, or deliver messages to the staff as appropriate.
- Compose communications as requested, such as preparing and sending cards, welcome letters to new members, baptismal instructions, follow-up postcards to visitors, and other administrative correspondence. Ensure timely handling of all correspondence and mail. Regularly check email and respond, redirect, or flag for action as needed.
- Use church management software to maintain all membership records; track baptisms, dedications, weddings, and attendance for members and visitors; maintain Sunday School folders; and assist with communications to congregation groups.
- Manage and keep an up-to-date master calendar of all church events, generating reports as needed in an organized and timely manner.
- Maintain inventory of office supplies and reorder as needed. Make materials available to members as requested.
- Update bulletin boards and church calendars with current events.
- Participate in staff meetings and perform other office procedures as required.
- Assist with benevolence duties and record-keeping.
- Print and prepare weekly worship guides and the Second Page newsletter.
